To ensure that your visit to Coffs Habrour and the experience of the conference is as enjoyable as possible, here is a list of Frequently Asked Questions which will hopefully provide you with all the information you need.
We encourage you to read through this before you attend. Please contact us if you have a question that we haven’t answered.

About Conference

The APRS Conference 2024 will be held at the Pacific Bay Resort, Cnr Pacific Hwy and, Bay Dr, Coffs Harbour NSW 245.
Travel time between the Coffs Harbour Airport and the hotel is approximately 10 minutes.

  • Coffs CBD west to Nana Glen – 26km or 25 min
  • Coffs CBD south to Sawtell – 12km or 13 min
  • Coffs CBD south to Airport – 4km or 5min
  • Coffs CBD southwest to Bellingen – 35km or 28 min
  • Coffs CBD east to Jetty – 3km or 6 min
Parking in Coffs Harbour is free except for at the Airport and the Hospital. There are a number of all day parking areas available in the City Centre. Find suggestions for long vehicle parking in the CBD here.

Carparking is complimentary, subject to availability.
The members of the conference organising committee and Leishman Associates accept no liability for personal accident of loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the conference by delegates, speakers, sponsors or any other party. Please protect your personal property. Do not leave laptops, cameras, and other valuable items unsecured. Be conscious of individuals who appear out of place and do not wear a conference name badge. Advise Leishman Associates staff if this does not occur.
All delegates and exhibitors will be provided with a name badge, which will give you access to all sessions. Please ensure you always wear your name badge.
If you have advised Leishman Associates of any special dietary requirements, the caterers at each function have been provided these. A special buffet table will be set during the day for special diets. If you are unsure, please see the staff at the Registration Desk.
Free wireless internet access is available for the duration of the Conference. The password and login details will be available closer to the Conference. PLEASE NOTE: The internet is not to be used to view or download any illicit material, including movies, music etc.

Day Registrations – includes catering for morning tea, lunch and afternoon tea, entry to sessions on the day specified and name badge.

Full Conference Registrations – include catering for morning tea, lunch and afternoon tea, entry to three days of technical sessions and name badge as well as entry to the Welcome Reception and Conference Dinner.

Cancellations must be received in writing, via email to Leishman Associates.
Cancellations will not be deemed to be received until you have a written confirmation from Leishman Associates. If you have not received an acknowledgement email within two business days, please contact Leishman Associates on (03) 6234 7844.
You will only be entitled to a refund or partial refund as set out below:
Your cancellation – if you cannot attend the following cancellation terms will apply
  • If you notify us by email before 5pm on the date that is 60 days before the Event commences, you must pay a cancellation fee of $150.00 (including GST) and if, when you give us that notice, you have paid more than that sum, we will refund the balance; or
  • If you notify us by email before 5pm on the day that is 30 days before the Event commences, you must pay one half of the full cost of your registration (plus GST). If, when you give us that notice, you have paid more than that sum, we will refund the balance; and
  • You may cancel your registration after 5pm on the date that is 30 days before the Event commences, but you will not be entitled to a refund

If you have booked your accommodation when you registered, your credit card details have been transferred to the hotel you have selected. The hotel will process the payment 7 days prior arrival date. 

Please email Sharon to cancel or change your accommodation prior to the Conference. If you need to cancel your accommodation booking within 30 days of your arrival date any cancellation fees will be subject to the hotel cancellation policy. Please click here to view the hotel terms and conditions.

If you arrive 24 hours later than your indicated arrival day, charges will apply.
If you alter your accommodation booking after you have checked in, please deal directly with the hotel.

A delegate list will be emailed out a week prior to the conference. Printed delegate lists will not be available at the conference. If you had selected privacy required when completing your registration form, your name will not appear on the list.
Any changes to the Conference program will be announced during housekeeping notices each morning. You may also check with Leishman Associates staff at the Registration Desk.

Please bring your PowerPoint presentation with you when you register. All presentations need to be 16:9 in ratio.

All speakers should present themselves to the Audio-Visual Control Desk at least 2 hours prior to their scheduled presentation time, to upload their presentation.

Speakers are also requested to assemble in their session room 5 minutes before the commencement of the session, if possible, to meet with their session chair and to familiarise themselves with the room and the audio-visual equipment. A technician will be present in the room at all times. There will be facilities to test and modify your presentation if required.

During the break prior to your session, it is highly recommended that speakers go to their room and introduce themselves to the chairperson of their session. Each chairperson will be in their room at least 5 minutes prior to the start of the session.
You can also check that your presentation is working correctly with the AV technician in the room.

If you are a chairperson, you will receive chairpersons’ guidelines when you register at the registration desk. If you have additional questions, please contact Leishman Associates.
As a courtesy to other delegates, please ensure that all mobile phones are turned off or in silent mode during all sessions.
Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the relevant speaker.
ARPS 2024 reserves the right to amend or alter any advertised details relating to dates, program and speakers if necessary, without notice, because of circumstances beyond their control. All attempts have been made to keep any changes to an absolute minimum.
